We are looking for a dynamic and organized Legal Assistant to join our legal team in Italy. The ideal candidate will be a proactive person with a strong attention to detail and wish to be part of a dynamic legal team.
Main Tasks and Responsibilities:
- Drafting and reviewing contracts and correspondence
- Regulatory and case law research
- Support in the implementation, archiving and organization of contract repositories
- Monitoring of activities and progress of work deadlines
- Management of the Chief Legal Officer and legal team agenda in Italy, interfacing with other functions (internal and external to the organization) to optimize the available time
- Management of all activities related to Purchase Requests in SAP and related invoice uploads for the Legal department for all Italian companies of the De Nora group
- Management of requests for coding and insertion of new suppliers, in collaboration with Procurement Dep.
- Management of the 4C legal platform and support in managing tenders for the selection of lawyers
- Monitoring of all open and closed orders aimed at comparing budgeted costs with costs actually incurred and facilitating expense control with Procurement and Accounting
- Management and updating of the digital archive relating to Purchase Requests, Purchase Orders and invoices received, divided by practices/contracts
- Support and monitoring of the Budget/Forecast of the CDC of the Legal Department and interface with the AFC Team for quarterly updates and Forecast review
- Organization and management of travel for the Legal team and direct interface with the travel agency for business trips
- Compilation of the internal management system with the information preparatory to business trips
- Management, control, and insertion of Expense Notes to verify that everything is in policy
- Management, monitoring of deadlines, and planning of renewals of documents preparatory to business trips
- Management of the allocation of working hours of colleagues in the Legal department, with the insertion of the Time Sheet.
