For our De Nora Water Technology Business Unit - Milano Office - we are looking for a Document Controller, who, managing, ensuring that accurate information and documents are distributed throughout an organization, on time, to team members / external stakeholders based on agreed communication matrix. Responsible for maintaining the accurate records of projects or company documentation with easy access.
Document Controller also maintains and examines related files to release blueprints, drawings, and engineering documents to Clients and other operating departments.
Main responsibilities:
· Creating, following, and improving document control procedures,
· Coordinate all activities related to the Document Control procedure, including technical documents, and drawings,
· Input document data into the standard registers ensuring that the information is accurate and up to date.
· Generate the various document control reports as required,
· Revise documents from Engineers’ inputs as needed,
· Makes sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable,
· Maintain updated records of all approved documents and drawings and their distribution clearly,
· Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability,
· Maintain the files and control logs as required by the project,
· Ensuring that documents are distributed / shared to projects team at key times to facilitate timely project completion,
· File documents in physical and digital records,
· Create document control templates (using Microsoft Excel),
· Retrieve files as requested,
· Manage and keep track the flow of documentations,
· Producing document progress reports for managers,
· Helping in the planning stages of a specific project,
· Ensuring all documentation meets formal requirements and required standards,
· Working from office close to projects team,
· Conducting regular reviews and document audits with projects team,
· Understands and adheres to all company health and safety procedures as they relate to essential functions.
Education and professional experience:
· Bachelor degree in Engineering or similar,
· Some related work experience in office work, documentation, and control,
· Knowledge of Engineering disciplines like Mechanical, Electrical,
· Candidate must have a minimum of two years of work experience in document or records management preferably with EPC contractors,
· Knowledge in use of spreadsheets, database, word processing and selected job specific software,
· Ability to keep clear and accurate records and reports,
· Ability to use computer and rapidly input data and retrieve records and information,
· Ability to organize workload and to manage a filing methods and management techniques,
· Good Communication skills,
· Fluent of the English language.
