The Assistant will be responsible for:

 

  • Assisting and facilitating the smooth functioning of the Chief Officer’s professional life.

  • Managing the Chief Officer’s agenda precisely, coordinating various activities, meetings, and appointments.

  • Handling incoming calls and messages, promptly conveying relevant information to the Chief Officer.

  • Prioritizing and managing email correspondence effectively.

  • Assisting in drafting, reviewing, and sending communications on behalf of the Chief Officer.

  • Organizing and preparing for meetings, including logistical arrangements and document preparation.

  • Providing necessary documents, reports and presentations as required.

  • Offering administrative support, including defining, filing, and maintaining records and documents for the Chief Officer (policies, procedures, etc).

  • Ensuring the accomplishment of the applicable administrative duties.

  • Managing and prioritizing requests from the Chief Officer and the Line Managers.

  • Organizing and coordinating travel arrangements, logistics and activities, including business trips, accommodations, and visas renewals for the Chief Officer and for the Teams.

  • Organizing events and supporting Marketing & Business Communication tradeshows and events organization.

  • Independently managing tasks and promoting continuous improvement within the function.

  • Managing all activities related to Requests for Purchase of Materials, Services and Capex (RDA) and associated Invoice processing.

  • Monitoring budgetary expenses against actual costs for open and closed orders.

  • Supporting Budget/Forecast management for all CDCs within the dept and liaising with the Administration Finance & Control Team for quarterly updates and forecast revisions.

  • Track deadlines and manage NDA archives for the entire department.

  • Collaborating with the Legal Team for NDA renewals and archive maintenance.

  • Managing the allocation of working hours for colleagues in the Department (Time Sheet).

 

Education and professional experience

  • Bachelor in Business Administration/management

  • 0-2 years experience in the role, preferably in a multinational company.

  • Good knowledge of English language

  • User Knowledge of SAP
